The costs of hotel accommodation including the costs of the meals listed on the itinerary. The cost of the sight seeing excursions including entrance fees and all transport costs for such tours.

Except for the costs expressly stated to be "included in the tour price" all costs that the customer may incur shall be for his own account. Without limiting the generality of the previous sentence this means that the customer shall bear the costs of all air fares ( except those listed in the itinerary) and the costs of items of a personal nature such as laundry, beverages, cigarettes, travel documents tips and gratuities.

Where circumstances permit accommodation shall be (a) in double rooms with private bathrooms in superior grade hotels. However a limited number of single rooms will be available as a supplement; (b) when on safari in luxury tented camps or game lodges or rustic camps with full facilities available.

Air-conditioned sedan cars, air-conditioned 7 seater Microbuses standard, semi-luxury and luxury coaches (22.35 and 44 seater) and 4x4 safari vehicles.

The responsibly for the provision of current and valid passports, Visas. Vaccinations. Inoculations and health documents, where required is that of the customer alone and the company shall not be responsible or reliable for any loss of whatever nature arising from the customer failing to ensure that he/she has complied with all such requirements. Passengers must ensure that they have multiple entry visas for the Republic of South Africa .

The company shall not be liable for any loss of whatever nature which the customer may suffer as a result of the theft of or the loss of or damage to his baggage whether or not this is attributable to any fault on the part of the company.

All tour prices are quoted in South African Rand and are nett. These prices are based on current transport and hotel rates. These prices could fluctuate therefore the company reserves to it self the right to increase all prices at any time without prior notice. We will however endeavor to keep the prices of the tours a quoted and not increase them unless we consider it absolutely necessary.

A deposit of 50% is required on all reservations. The balance to reach the company not later than 35 days prior to the departure tour.

In the event of cancellation prior to 35 ( thirty five) days before the scheduled date of departure of a tour, the deposit less any expenses which the company may have incurred (e.g. fax, telephones, etc,) shall be refunded. In the event of a cancellation which occurs less than 35 (thirty five) days prior to the date of scheduled departure of a tour the company reserves the right to retain full payment. However each case shall be treated on its own merits and the exact cancellation charges will be determined at the time of the cancellation. All transfers/charters not cancelled within 24hr prior to departure will be charged in full.

Time Out In Africa reserves the right to charge the following cancellation fee should a confirmed reservation be cancelled within the following period and once a quotation has been accepted by the client

5% cancellation fee if cancelled less than 60 days prior to arrival
25% cancellation fee if cancelled less than 30 days prior to arrival
50% cancellation fee if cancelled less than 14 days prior to arrival
100% cancellation fee if cancelled less than 10 days prior to arrival or no show

Please insure that guests rae adequately covered by a travel insurance company to offset unforeseen cancellation, illness, emergency evacuation or death. Travel Insurance can be arranged by Time Out In Africa, however if this is not pre-arranged, Time Out In Africa takes no responsibility for its passenger's insurance cover including cover whilst travelling in any vehicles.

Final numbers for groups must be confirmed 60 days prior to arrival, after which time any reduction in numbers will incur cancellation fees in accordance with Cancellation Policy. Time Out In Africa is not responsible for any Extra Accounts, unless prior arrangements have been made.

The company reserves the right to change any route and/or accommodation if in the opinion of the company conditions necessitates, and to offer substitutes of equal value or to cancel any arrangements in which event an equitable amount will be refunded. It also reserves the right to decline, to accept, or refuse any person as member of a tour at time without giving any reason therefore in which event and equitable amount will be refunded. The company further reserves the right to employ any person it may consider suitable to carry out all or any part of any tour at any time.

• The company shall not be liable to any loss of life or for any other loss injury delay inconvenience or expense what so ever suffered by any customer, nor for any loss of nor damage to customer baggage or other property whether or not such loss, injury delay inconvenience or expense arise from the act default, breach of contract, neglect or error of judgment by the company, its servants or agents.
  
• In so far as any of the companies obligations to the customer are carried out by any of the company's servants or agents the provisions of (a) are stipulated for their benefits as well as the company's benefit, and each of them shall be exempted accordingly. The company reserves to itself the right to cancel any scheduled tour before the due date of departure, and in that event the company shall refund the customer all amounts paid by him which shall be in full and final settlement of all or any claims the customer may have against the company arising out of or connected with any such cancellation.
